Trial stays bookable online: How to catch family inquiries 24/7

Families organise care-home search in the evening, on weekends, after a 12h shift. If your reception is closed then, they go elsewhere. How to build a 24/7 intake without hiring.

A daughter in Brisbane plans at 20:47 for her mother. Hospital discharge in eleven days. She just spoke with her brother. They want to view three senior residences.

She opens three websites in parallel. Two have no online booking system for trial stays or intake conversations. She has to call in the morning. The third has a booking slot. She books Saturday 10:30. Six clicks, three minutes.

Whoever gets Saturday has a lead the other two will never catch up.

What families really need

Three booking types that must be distinguishable:

  • Trial stay. 3-7 days. Requires living-form selector (residential, respite), care-level entry, funding type, room preference.
  • On-site intake conversation. 60-90 min. With manager or social worker. Care level not necessarily known.
  • Day-care taster session. 4-6 hours. Different logistics, different audience.

A site that does not split these loses the booking. The family does not know what to book.

What 24/7 booking changes

A 96-place residence introduced online booking in January. Three months tracked: bookings per month 6 → 23, of those after hours (18:00-9:00 + weekend) 0 → 14, no-show rate 28% (no reminder) → 9% (48h + 2h reminder).

What the website must show

Three things visible at first scroll — not buried on sub-pages.

One. Which living forms are currently available. "3 residential places · 2 respite · day-care from May" — transparent availability is a trust signal.

Two. Bookable slots in 30-minute steps. Not "Please call us" — concrete slots to click.

Three. What happens at a trial stay. 4-6 bullet points. What to bring, what it costs, what happens if it fits.

What you can do today

Ask reception: how many family calls for trial-stay come in per week? How many between 18:00-22:00? If the share is above 30%, online booking is your biggest conversion reserve. How the trade handles this in aggregate, here.
