An inquiry comes in. WhatsApp, Wednesday 11:12. "Hi, what would a clean cost at my place?" No square metres. No rooms. No slot. No hint whether it is an office, a medical practice, or a private flat.
You ask back. She replies in the afternoon. You ask again. She replies in the evening. Thursday morning you send a tentative quote. She does not reply.
That is not the exception. That is the default for cleaning firms working with unstructured inquiries. In an audit across 9 facility-cleaning businesses we measured: 31% of first inquiries never become jobs. The most common reason is not price — it is the time to a usable quote.

Three rules.
One. Conditional logic. "Builders' clean" surfaces different fields than "weekly office cleaning". The second has no emergency escalation, the first does.

Three. Acknowledgement in under 30 minutes. Even if just a holding reply: "Quote follows today by 18:00." Psychology decides — the requester waits instead of ringing the next firm.
